Terms and Conditions

Reserving Your Room & Registration

You can choose from single, double, or triple occupancy rooms by paying in full and if available at the time of your booking. Rooms are assigned on a first-come, first-served basis and require full payment for confirmation. Once paid in full, your registration and room choice are secured. The full payment deadline is May 1st.

Roommate Matching

Shared rooms come with lower rates, and we will do our best to match you with compatible roommates. However, roommate placement is not guaranteed.

Occupancy & Rate Responsibility

If we are unable to fill a shared room (double or triple) to full capacity, you will be responsible for the rate based on the number of occupants in your room. For example, if you book a double room but no roommate is available, you must pay the double occupancy rate. The same applies to triple rooms.

Cancellation Policy

  • If you cancel your booking before May 1st, 2025, you will be entitled to a refund minus the $500 non-refundable deposit.

  • After May 1st, 2025: No refunds will be issued.

  • Cancellations must be submitted in writing via email to: eileen@karunayogahealingarts.eu.

Retreat Cancellation by Karuna

Karuna Center for Yoga & Healing Arts reserves the right to cancel the retreat due to natural disasters, global pandemics, travel restrictions, political events, or unforeseen circumstances. In such cases, a full refund will be issued, minus the $500 non-refundable deposit

Passport, Visas and Other Travel Documents

  • It is your responsibility to ensure that you are in possession of all required travel documents for your trip.

  • When travelling to Europe from the US, your passport must be valid for at least 3 months beyond your intended departure date.

The European Travel Information and Authorization System (ETIAS) will be a new entry requirement for US citizens traveling to Europe starting in mid-2025. As of February 2025, there is no official implementation date announced. Here's a summary of the key requirements:

What is it?

  • ETIAS is an electronic travel authorization that you'll need to obtain before your trip to Italy. It's not a visa, but a new layer of pre-travel screening.

Who needs it?

  • US citizens traveling to Italy for tourism, business, or transit for stays of up to 90 days.

When do I need it?

  • ETIAS is expected to be implemented in mid-2025. You'll need to apply for it before your trip to Italy in September 2025.

What are the requirements?

  • Valid passport: Your passport must be valid for at least 3 months beyond your intended stay in Italy.

  • Online application: You'll need to fill out an online application form with your personal information, travel details, and answer some security questions.

  • Application fee: There is a €7 application fee (though it may be waived for those under 18 or over 70).

How long is it valid?

  • Once approved, your ETIAS will be valid for 3 years or until your passport expires, whichever comes first. It allows for multiple entries into Italy and other Schengen countries.

How do I apply?

  • The ETIAS application will be available online. It's recommended to apply well in advance of your trip, as processing times may vary.
